Privacy policy
Urban Sparrow is a small dance studio on the second floor of a building in Chuo-ku, Niigata, and we would like to treat your details the way we treat the floor: carefully and without fuss. This page explains what we learn about you when you read this site, write to Hiroshi, book a trial class or join a regular session, and what happens to it afterwards. The short version is that we ask for as little as we can get away with and we never sell or trade it.
Who we are
The studio is run by Hiroshi Sugiyama, who is also the person answering your email. Urban Sparrow, 〒950-0912 新潟県新潟市中央区笹口2-6-11, is responsible for the information described here. There is no head office, no call centre and no outside marketing agency, so the people who can see your details are the people who teach and run the studio.
What you tell us before your first class
When you write to ask about Hip-Hop Fundamentals, Contemporary Flow or Jazz Funk, we receive your name, your email address, optionally a phone number, and the message itself. If you ask for a trial class, we add the date you want to come and, if you mention it, your level of experience so Hiroshi can suggest the right session. The contact form on this site opens your own email program with the message filled in, and nothing reaches us until you press Send there.
Injuries and health notes
Dancers often tell us things that sit close to health: a sore knee, an old ankle sprain, pregnancy, a recent operation. We only write these down when you offer them, and we use them for one purpose, which is adjusting what we ask of you in class. They are not shared with other students, not used for marketing, and deleted when you stop attending. Under the Act on the Protection of Personal Information (APPI), medical history is treated with extra care, and so do we.
Teen Crew and students under 18
Teen Crew is for 13 to 18 year olds. For younger students we ask that a parent or guardian writes to us, or is copied on the first message, and we keep their contact details alongside the student's name so we can reach them about schedules, cancellations and pick-up. We do not contact teenagers on their own about anything beyond class logistics, and a parent may ask us at any time to see or remove what we hold about their child.
Payments and records
Drop-in sessions and the ¥2,000 trial class are paid in cash at the door, so there is no card data to protect. Monthly passes can be paid by bank transfer, which means your bank shows us your account name and the transfer details. We note who has paid for which month so that passes can be checked, and we keep the receipts and bank records for as long as Japanese tax and bookkeeping rules require, which may be several years.
How we use it
Your details are used to answer you, to hold your place in a class, to tell you when a session moves or is cancelled, and to keep the books in order. We do not add you to mailing lists you did not ask for, we do not make decisions about you with software, and we do not share your details with advertisers.
Local storage
This site sets no analytics or advertising cookies. The only thing it stores in your browser is a small flag remembering that you closed the cookie notice, so it does not reappear on every page. Clearing your browser data removes it, and the banner simply returns the next time you visit.
Who else may see it
Nobody receives your details from us for marketing or in aggregate. Our email provider and the bank that processes transfers handle some information as a normal part of their service. A public authority may also ask for information, and we answer only where the law leaves us no choice. If we ever work with a photographer or videographer for a showcase, we will ask each student separately before their name or image is used anywhere public.
How long we keep it
Enquiries that never become students are deleted after about three months. Students' contact details and notes are deleted within a few weeks of their last class, unless they ask us to keep them in case they come back. Payment records stay for the period the tax rules demand, but without the text of your messages.
Protection
Messages sit in a password-protected mailbox, and the class list is kept on Hiroshi's own devices rather than pinned on the studio wall. Printed sheets, if any are made for a workshop, are shredded afterwards. If we ever find out that your details have been exposed, we will tell you directly and report it as the law requires.
Your rights under the APPI
You may ask what personal data we hold about you, ask for it to be corrected, and ask us to stop using it or delete it where the law permits. Write to hello@urban-sparrow.com, tell us which class or enquiry the request concerns, and we will reply after confirming your identity. Simple requests are free. If you are not satisfied, you can also take the matter to Japan's Personal Information Protection Commission.
Changes
If we start using a booking system, an online payment method or a newsletter, we will update this page first. The date at the top shows when it last changed.
